  • Overview

    Under the direction of the Manager of Human Resources, assist in the day-to-day operation of the Human Resources Department.  Provide administrative support for incoming HR phone calls, arrange trainings, reserve meetings rooms.  This position also provides administrative assistance to all members of the HR team.

    Responsibilities

    • Provides excellent customer service to all Jefferson Center employees, as well as outside applicants and vendors by answering routine inquiries within a 24-hour timeframe
    • Assists with answering all incoming phone calls in the HR department, transfers call to appropriate staff member
    • Orders MVRs, coordinates driver’s physicals, auto insurance approvals for staff driving Center vans and staff transporting clients in personal vehicles
    • Reconcile and distribute Thumbs-Up gift cards to staff
    • Reconciles monthly HR credit card bill
    • Assist with Workers compensation process by collecting initial data from employee and completing a First Report of Injury, following up with injured worker with claim number and approved medical facility locations
    • New Employee Orientation Wrap-Up coordination, scheduling of Conference Rooms, catering, distribution of attendees list to presenters, email attendees
    • Order supplies for the HR department
    • Creates and processes Purchase Orders for HR department
    • Creates employee identification badges
    • Schedules meeting rooms, coordinates staff schedules, orders food for trainings
    • Administrative support for Wellness Program promotions
    • Filing of paperwork in all HR personnel files
    • Exhibits enthusiasm, courtesy, adaptability, flexibility, and spirit of cooperation in the work environment
    • Prepares PowerPoint and other training materials for trainings accurately and in a time efficient manner
    • Creates and audits New Employee personnel file
    • Updates all licensure information in Ulti-Pro (HRIS)
    • Completes Student Loan employment verifications for employees
    • Assists with Benefits Open Enrollment and Benefits Fair
    • Assist with Workers Compensation process by collecting data from employee and completing a First Report of Injury to Pinnacol
    • Assists with Holiday Party and Assembles Years of Service Bags and certificates
    • Creates Years of Service certificates for monthly staff anniversaries
    • Orders and coordinates Fruit Baskets for Wellness Program

    Other Duties:

     

    • Attends all mandatory center-wide trainings
    • Mail sorting and distributing
    • Miscellaneous clerical tasks such as faxing and photocopying,
    • Works cooperatively with other community agencies, as appropriate, and in agreement with supervisor. 
    • Volunteers to work on Center committees and/or task forces
    • All other duties as assigned by manager

    Qualifications

    • High School degree or equivalent, advanced related education preferred 
    • A background in administrative support or secretarial support of a department 
    • Experience in Human Resources preferred 
    • Skills in communication and proficient in computer technology, including basics of Microsoft Office Suite, to include Word, Excel, and Powerpoint
    • HRIS experience and knowledge a plus
    • Excellent organizational skills and attention to detail essential   
    • Excellent communication skills, both verbal and written 
    • Ability to work independently with good judgment and professionalism, along with managing multiple projects in a timely manner 
    • Provide excellent customer service to internal and external customers 
    • Maintain confidentiality, accuracy, dependability, and initiative
