  • Overview

    Responsible for greeting, assessing and assisting consumers, the general public and staff at The Road office. Provide administrative and office management duties for The Road and CrossRoads teams. The Senior Secretary will work closely with manager and team members to independently provide administrative support.  


    Essential Duties, Road & CrossRoads

    • Primary receptionist for customer phone contact and office visits
    • Create and manage spreadsheets & databases
    • Create referral forms and update as needed
    • Check Medicaid status for programs’ clients
    • Provide numbers to the Development Department for grant purposes as needed
    • Have an understanding of how trauma impacts the lives of the people being served, so that every interaction is consistent with the recovery process and reduces the possibility of retraumatization.  (Specifically for front line staff).
    • As required, participate in the center’s training/educational programs designed to enhance knowledge about Trauma Informed Care, the impact of trauma and trauma recovery.
    • Ensure that interactions with clients and other Jefferson center employees supports the principles of trauma informed care.

    Essential Duties, CrossRoads

    • Point of entry for all CrossRoads referrals
    • Enter referrals into the CrossRoads database and SB-97 database
    • Research services using TIER and the Crossroads database to prepare a monthly CrossRoads Progress Reports; Works with the Program Evaluation and Research Department to assist in creating an Evaluation Plan
    • Tracks Referrals and Enrollments for SB97 Report
    • Assist clinicians in data entry process when necessary
    • Assist manager in completion of annual SB97 report

    Essential Duties, The Road

    • Attend weekly Team Meetings, take and distribute notes
    • Create, update and distribute Road calendar on a monthly basis
    • Collect and track all Road Evaluation pre and post tests
    • Send Road Evaluation surveys to the Program Evaluation and Research Dept.
    • Reconcile Petty Cash box, prepare report and order petty cash
    • Editor for the quarterly ROAD Rundown
    • Update the Passport as needed
    • Support Community Advisory Board by notifying committee members of meetings, attending meetings, providing refreshments, taking and distributing notes
    • Assist in updating the Road website
    • Maintain Road client files
    • Create flyers/announcements 

    Essential Duties, Office Manager

    • Apply departmental policies and procedures in overseeing office programs and operations
    • Recommend, plan and organize new and/or revised office procedures
    • Arrange for maintenance and repair of office equipment
    • Responsible for all aspects of RTD: Order and distribute bus passes and tokens; Maintain Client Certification Forms; Prepare required documents; Maintain files of all RTD correspondence; Prepare both Quarterly and Annual Reports
    • Work with the Marketing Department to update Road and CrossRoads brochures, business cards and badges
    • Work with Technohub as needed to ensure internet and computers are working
    • Check voicemail on a daily basis
    • Attend monthly Senior Secretary meetings
    • Point person for telephone company communications for the office
    • Order office supplies for Road and CrossRoads
    • Collaborate with staff of Brady High School

    GED, high school diploma or one or more years advanced related education. At least two years experience in administrative capacity preferred; strong proficiency in Windows based applications including MS Word, Excel, Access, Power Point and PhotoShop; excellent verbal and written communication skills, time management and multitasking abilities; ability to work independently is a must; superior customer service skills. Hours are M-TH 8-2, with occasional flexibility for special events few times per year.
