    Executive Assistant

    Perform a variety of support services to extend the efficiency of the treatment team, including general office systems management and client support.


    • Using a variety of software packages, including, by not limited to, Microsoft Word, Outlook, Excel, and PowerPoint, produces/maintains correspondence, documents, spreadsheets, databases, and other recor
    • Manages and/or directs telephone calls and emails in an appropriate and timely mann
    • Schedules meetings, prepares meeting materials, attends meetings, and takes minutes.
    • Assists with planning events, trainings, and staff meetings including determining attendees, flow of information to attendees, equipment and location.
    • Makes copies of correspondence and other printed material
    • Proofreads a variety of documents and corresponden
    • Procurement of office supplies and equipment, as neede
    • Assists the CFO with bookkeeping and accounting duties.
    • Prepares expense reports, processes expense billing, processes staff mileage reports, reconciles corporate credit card statement, and assists with bank reconciliations.
    • Coordinates administrative activities for new employees (assists with securing badges, phone & email set-up, office equipment, etc.)
    • Organizes and prepares complex documents requiring the integration of multiple software applications.
    • Maintains user names and passwords for the secure site on the organizations website.
    • Completes special projects as requested.


    Other Duties:


    • Maintains acceptable attendance record
    • Performs other related duties as assigned


    Physical Requirements/Working Environment:


    Ability to operate a personal computer. Ability to attend meetings at a variety of locations. Ability to work seated for prolonged periods of time.

    This position is responsible for supporting C-level executives, board of directors, interdisciplinary teams and direct staff to include scheduling meetings, correspondence, messages and communication with internal and external contracts. Skills in communication and proficient in computer technology, including basics of Microsoft Office Suite to include Word, Excel, Outlook and PowerPoint. Preferred skills in QuickBooks, Visio and Web Design.  Excellent organizational skills and attention to detail is essential. Excellent communication skills, both verbal and written.  Ability to work independently with good judgment and professionalism, along with managing multiple projects in a timely manner. 

    • Minimum Qualifications:
      • Bachelor’s degree in business or equivalent experience.
      • Must have a valid driver’s license and maintain a good driving record while employed with the Agency
      • Meets the requirements of applicable federal, state and organizational background checks.
      • Executive Administration experience 3+ years
      • Proficiency in Microsoft Office Suite applications including Word, Excel, Outlook and PowerPoint
