  • Overview

    To oversee the operation of the Front Office and assist the staff conducting business in the Mountain offices with administrative support.  This position requires flexibility in scheduling. 

     

    The current hours of operation at the Evergreen office are:

    -Monday- 8:30 a.m.-7:00 p.m.

    -Tuesday-Thursday- 8:30 a.m.-5:00 p.m.

    -Friday- 8:30 a.m.-3:00 p.m. 

    **This position will float to support the offices in the Jefferson County metro area two days per week and the Evergreen office three days per week.

    Responsibilities

    • Excellent customer service and communication skills.
    • Ability to work positively with co-workers in a team environment.
    • Positively greet and assist clients, visitors and staff
    • Oversee the operations of the Front Office at the Evergreen office. This includes, but is not limited to: ordering supplies, maintaining office appearance for staff and clients, notifying appropriate staff for building maintenance needs.
    • Possess the ability to make decision, in the absence of the Site Manager, for the location while working cohesively with staff to achieve customer service goals.
    • Initiate and maintain effective interpersonal relations with consumers, peers, staff and the general public exhibiting courtesy, enthusiasm, flexibility and a spirit of cooperation. Timely and thorough response to phone calls, email and other requests from consumers and staff.
    • Provide clerical support as needed.
    • Support Mountain Community involvement
    • Proficiency in Microsoft Office (Word, Outlook scheduling, Excel) required.
    • Ability to support a high level of data entry for various departments.
    • Schedule client appointments utilizing computerized scheduling and enter client information into the Electronic Health Record.
    • Complete client Intake paperwork.
    • Initiate appointment reminder phone contact with consumers.
    • Manage petty cash account and money collected for various departments.
    • Reconcile co-pay collections daily. Send co-pay to Accounting daily.
    • Answer multiline phone system strategically.
    • Process documents for scanning by Medical Records Department
    • Ability to work efficiently and to utilize time effectively.
    • Must be able to support a flexible work schedule
    • Ability to float to support the Front Office operations at various locations throughout Jefferson County weekly. More frequently if needed.
    • Ability to work in a team environment
    • Attend mandatory meetings, trainings and online training. To be compliant with individual training plan.

    Other duties assigned.

    Qualifications

    High School Diploma plus 1 year of relevant work experience.
